We are seeking a self-motivated, thoughtful, detailed/action oriented, creative, and fun-loving individual to provide executive administrative support for the Global Business Enablement and Corporate Business Development Groups within Applied Materials Legal and Compliance Organization.
The successful candidate will need to be quick on their feet, outgoing, collaborative, proactive and have natural problem-solving skills, especially when dealing with people and conflict. This highly organized individual must be professional (discreetly handle details of a confidential nature) and interact comfortably within and outside the company. They will be expected to resolve time sensitive issues with professionalism (work through surprise) and have a healthy sense of humor. They must be able to work with a wide variety of personalities and grade levels (including other administrative assistants and managers within and outside of Applied Materials Legal and Compliance Organization) with kindness and a passion for doing the right thing. The individual will also be expected to apply flexibility and good judgment in changing environments and to execute tasks with minimal direction (this will be an empowered role). The role will also require the individual will to plan, organize and execute various projects as needed from time to time, so previous project management experience will help a great deal.
Key Responsibilities
- Executive-level administrative support for team members, including managing calendars, scheduling meetings, travel coordination, expense reporting and, email communications,.
- Coordinate team events, meetings and activities, assist with meeting agendas and track action items for follow-up.
- Prepare and manage new vendor requests and purchase orders.
- Assist with coordination and tracking of group requirements with other organizations, like IT, Finance, Security, and Logistics.
- Assist with team members’ preparation of Power Point presentations (including the incorporation of graphics, spreadsheets, and pictures, video, etc.), Word, and Excel documents.
- General office duties including management of office supplies, maintenance of confidential records and files in accordance with internal company procedures and affixing the corporate seal
- Manage and execute special projects and group task lists, as needed/assigned
Job Requirements
- Minimum of 5+ years’ experience in a corporate administrative role supporting and/or reporting to executives
- A good sense of humor and a positive, can-do attitude
- Ability to multi-task, prioritize and meet deadlines with minimal direction in a fast-moving environment
- Excellent organizational skills, attention to detail and timely follow-through
- High personal standards of excellence and sound judgment
- Strong interpersonal skills and proven ability to interact in a diverse and inclusive environment with all levels of internal and external contacts, with diplomacy and professionalism
- Clear and concise communication style
- High integrity and ability to maintain confidentiality of sensitive information
- Desire to build relationships with fellow team members, a strong willingness to help and support others and desire to contribute to a positive team culture
- High proficiency and confidence in using Microsoft applications including TEAMS, Outlook, Word, PowerPoint and Excel. PowerPoint skills very important, experience with co-pilot (and/or a willingness to learn), and a good eye for design.
- Curiosity and passion to learn, adopt, and push new productivity tools and office technologies;
- Ability to quickly learn and role model organizational policies, practices, and operations, and convey them to others
- Project management experience/certification is a plus
- Previous experience working with legal organizations not required

U.S. Salary Range:
$46.50 - $63.80
The salary offered to a selected candidate will be based on multiple factors including location, hire grade, job-related knowledge, skills, experience, and with consideration of internal equity of our current team members. In addition to a comprehensive benefits package, candidates may be eligible for other forms of compensation such as participation in a bonus and a stock award program, as applicable.
For all sales roles, the posted salary range is the Target Total Cash (TTC) range for the role, which is the sum of base salary and target bonus amount at 100% goal achievement.
